Expanded version of "Employee Safety Information System"
- With its various means of communication, it is a powerful tool not only for emergencies but also for daily use. -
NTT COMWARE CORPORATION (hereinafter NTT COMWARE, Head Office: Minato-ku, Tokyo, President: Yuji Matsuo) will start selling expanded version of "Employee Safety Information System" from July 25. The system can be used for speedy communication between the managers of companies and the employees in case of an emergency. Until now, it has been using telephone and cellular phones to register and transmit the information to the system. The expanded version of the system has added mail and web (PC and i-mode) so that its information transmission capacity is suited not only for emergency situations but also for daily use.

"Employee Safety Information System" enables companies to transmit necessary information correctly and rapidly to their employees at critical times such as earthquakes, typhoons and other natural disasters. And it enables the employees to register their situations to the designated contact(s). The employees can register whether "they are injured or not" or "they are able to go to work or not" by operating the telephone equipment buttons following the telephone voice guidance of the "Employee Safety Information System". The managers can check the contents registered by each employee or pre-defined organization using the telephone or web browser. They can call the pre-registered emergency contact(s) at once if there are any employees who have not registered their safety information.
The newly expanded functions allow the employees to register their evacuation area or the disaster situation in text form from PCs and i-mode web browsers. It also allows multiple registrations including telephone numbers by adding mail addresses to the pre-registered employee emergency contact(s). When the managers urgently need to call employees, they can securely transmit the information by registering their messages from web browsers, which enables them to send mails and to make voice calls by converting the text into voice. Furthermore they can confirm the safety of the employees' families so that they can support them when the employees are separated from their families. These expanded functions are useful for companies' disaster support activities and for the early establishment of a recovery or restoration plan and the organization of emergency activities.
Also added is a bulletin board function suited not only for emergency situations but also for daily use. It allows the system users to gather and transmit information by multiple means. The users can register and view various messages through PCs and i-mode web browsers. The system is now available for wider use and it can transmit operational information. It can also be used for internal communication, e.g. transmission of event information. At the time of an emergency, it can instruct the employees how to evacuate and can transmit updated disaster information news.
NTT COMWARE designed the "Employee Safety Information System" for wider use. It is not a mere emergency system. It can be customized for the municipalities trying to improve their service to the communities and for the companies aiming to improve their operating efficiencies, e.g. safety check of the elderly people who live alone, operational calls in case of trouble in the utility infrastructures such as electricity and gas, etc. We are eager to serve the needs of the companies including housing, which is the system operation and maintenance provided by us. The sales price of the system with standard functional composition starts at 8,000,000 yen. NTT COMWARE is targeting the sale of the system to the manufacturing companies, energy industries, and various municipalities with 1,000 to 10,000 employees and to general enterprises.
[Installation example of "Employee Safety Information System"]
"Employee Safety Information System" is developed by NTT COMWARE based on its experience gained through development, maintenance and operation of NTT telecommunications system and know-how of countermeasures used against calamities and disasters. NTT COMWARE at the time, the company had about 9,000 employees, installed the system as of June 2001. The basic employee information e.g. current address and work place, etc. is integrated with the employee information system and can be updated daily. At the metropolitan area disaster prevention exercise held in July of the same year, NTT COMWARE used the system to check the safety of about 1,200 employees living in the metropolitan area and proved the system's effectiveness.

- 1) Safety Registration Function
- You can register your comments and information e.g. whether you are injured or not, whether you can go to work or not, evacuation area, etc. by telephone, web, i-mode, etc. You can also register voice messages (for 30 seconds). The comments you input in the text form are converted to voice so that you can listen to them.
- 2) Safety Check Function
- The employees and their families can view the safety registration information by performing name search using telephone, web and i-mode. The managers can perform name search and check to see if all employees have registered or not. Furthermore, they can continue searching from items such as organization they belong to, unit they belong to, area, registration status, injury status, family, etc.
- 3) Safety Information Gathering Function
- The managers can identify employees who are not registered by using the employee's organization, responsibility, area, etc. and they can request the earliest registration of employee safety information. The request can be transmitted to the pre-registered telephone, cellular phone and mail of each employee, so the request can be informed to all employees at once.
- 4) Emergency Call Function
- The managers can transmit emergency calls to the members of emergency team. Voice messages will be converted from the text automatically and can be transmitted to the employees who are in a situation where they are unable to use nothing but the telephone.
- 5) Unregistered Employee List Function
- The system displays the list of unregistered employees and transmits the safety information registration request to them.
- 6) Bulletin Board Function
- The system has 2 bulletin boards that can be viewed by all users. You can use one for disaster and emergency purpose and another for the daily communication at the normal time.
- 7) Personal Information Management Function
- Each employee can input his/her own information and that of his/her family. His/her family member can input only his/her information. He/she can change emergency contact information by i-mode, etc.
